To allow the sharing of your QuickBooks file, your best option is to have a computer network in place. This network will provide the foundation for you to then share the file between two or more computers. You can have either a wired or wireless network within your office.
It is also possible to take a backup copy of the QuickBooks file from one computer and restore it to a second computer to allow sharing of the information. However, I don’t recommend this if both computers will be entering QuickBooks data. If you do this, you won’t know who has the most recent copy of the data file, and things can get messed up quite easily. Your best bet is to talk to a local computer consultant about a network for your home or office.
In order to use one company file with multiple users entering data, review Intuit’s Quickbooks reference guide on Multi-User Mode. Intuit’s reference guides can be found online at http://www.intuit.com.
It doesn’t help me out the Secratary and I share a network and ofcourse quick books ,recently she backed up QB and now our quickbook software is working independantly .Invoices and estimates she does up are on her computer but not mine and Visa Versa for me . we are both on multi user mode ,everything else on our network is fine ,and both our Quick books 2009 are up to date .What else am I missing ? we do not use the online services either .Since we are a small buisness with 3 people Employed .
If anyone can give me some insight I’d appriciate it .
Terry,
In order to diagnose this problem, it would be helpful to know if you are receiving any error messages or codes. Check to be sure all the computers have access to the shared Quickbooks data files. Just because the computers are networked and certain resources such as files, folders and printers are shared does not mean that the Quickbooks files you want to access are shared with all computers on the network. I would recommend accessing the Quickbooks data file (probably at C:\Users\Public\Documents\Intuit\QuickBooks\Company Files) and be sure the company folder and files contained within are properly shared. Please be aware of any security risks involved with sharing folders. Your computers may also have security software installed that is blocking the sharing. If you can’t browse to and view the Quickbooks folders and files (.QBW or .QBA) from the other systems using Windows explorer, neither can Quickbooks. If you are unsure about the risks of sharing resources on a network, I recommend contacting a technician who can properly set this up.
I hope this information is helpful.

On both computers the C:\Users\Public\Documents\Intuit\QuickBooks\Company Files) are Properly Shared and I can access them from either computer .We are both running XP .OS and I can make new Invoices and Estimates on mine and the other computer as well but the older files are shared and the newer ones are not . i.e my estimates stop at Estimate # 2441 ,the other computer stops at 2473 and ones I create now on QB don’t show on the other PC .and Vise versa .
Like i said now for some reason our 2 Quickbooks are running independantly even though hers is the Administraters and I am only a user . The Secratary uses it all the time but I only use it once in a while .
Thanks for replying
